Job Overview

We are seeking a detail-oriented and motivated Accounts Assistant to join our finance team 2 days per week. The successful candidate will support the accounting department by performing a variety of accounting and clerical tasks. This role is essential in ensuring the smooth operation of financial activities and maintaining accurate financial records.

What you’ll be doing:

• Accounts Payable:
  • Process invoices, verify financial data for use in maintaining accounts payable records.
  • Ensure invoices are paid in a timely manner.
  • Reconcile purchase orders to invoices and statements.
  • Address and resolve any discrepancies or issues with vendors.
• Accounts Receivable:
  • Assist in the preparation of invoices and bill customers.
  • Follow up on outstanding payments and manage the collection process.
  • Reconcile customer accounts and process customer refunds.
• Bank Reconciliation:
  • Perform regular bank reconciliations to ensure all transactions are recorded and discrepancies are resolved.
• General Ledger:
  • Assist in maintaining the general ledger by posting journal entries.
  • Help prepare monthly financial reports and assist in month-end closing activities.
• Clerical Support:
  • Maintain organised financial records and ensure documentation is accurately filed.
  • Perform general administrative tasks such as data entry, filing, and answering phones.
  • Assist with the preparation of financial documents for audits.
• Expense Management:
  • Review and process employee expense reports.
  • Ensure compliance with company policies and procedures.
• Financial Reporting:
  • Assist in the preparation of reports, summaries, and review of financial data.
  • Support the finance team in budgeting and forecasting activities.

Experience and skills that will aid success:

• Proven experience as an Accounts Assistant or in a similar role;
• Familiarity with accounting software (preferably Xero) and MS Office (especially Excel);
• Relevant certifications (e.g., AAT) are a plus;
• Strong numerical and analytical skills;
• Excellent attention to detail and accuracy;
• Good organisational and time-management abilities;
• Ability to handle sensitive information confidentially;
• Effective written and verbal communication skills;
• Proactive, adaptable, and capable of working without supervision or as part of a team;
• Strong work ethic and commitment to deadlines;
• Positive attitude and eagerness to learn;
• Ability to manage changing priorities and multitask effectively.
