Job Responsibilities and Duties

• Professionally answer and route incoming phone calls, ensuring courteous and efficient communication;
• Record customer requests in the ticketing system with accuracy and proper categorization;
• Track and follow up on open tickets, ensuring all issues are resolved by the end of the working day;
• Manage customer interactions with care and professionalism, always representing the company in a positive manner;
• Review the daily status of monitored systems, update tracking sheets, and maintain accurate records;
• Enter payment data into Excel with precision, maintaining accurate records for reporting and compliance;
• Keep documentation, records, and filing systems (digital and physical) well-organized and up to date;
• Prepare and submit daily reports, logs, and updates in a timely manner;
• Coordinate the Operations Director’s calendar, scheduling and organizing meetings and appointments;
• Provide support with task management, reminders, and prioritization of responsibilities;
• Assist in drafting documents, compiling reports, and handling other administrative tasks as needed.

Experience

• Experience in reception, customer service, or administrative roles will be considered an advantage;
• Proficient in Microsoft Office applications, including Excel, Word, and Outlook;
• Skilled at managing sensitive customer interactions with tact and discretion.

• Strong verbal and written communication skills, both in English and Maltese;
• Excellent organizational skills with the ability to multitask effectively;
